How Publish AI collects, uses, and protects your personal information.

This Privacy Policy describes how Publish AI (“Company,” “we,” “us,” or “our”) collects, uses, discloses, and protects information in connection with the Publish AI platform (“Platform,” “Service”). Publish AI is an AI-powered book and course creation platform that enables users to create manuscripts via voice-first input and AI generation, and to develop digital video courses with AI-assisted video production.

By accessing or using the Service, you acknowledge that you have read, understood, and agree to be bound by this Privacy Policy. If you do not agree, you must not access or use the Service.

Information We Collect

1.1 Information You Provide Directly

Account Information. When you create an account, we collect your name, email address, and profile information. If you register using Google Single Sign-On (SSO), we receive your name, email address, and profile picture from Google.

Content and Creative Materials. We collect all content you create, upload, or input into the Platform, including book manuscripts, chapter outlines, course structures, written text, and creative instructions provided to our AI systems.

Voice Recordings. When you use our voice-first input features, we collect and process audio recordings of your voice. These recordings are used to generate transcriptions that form the basis of your manuscript content.

AI Interaction Data. We collect prompts, instructions, preferences, and feedback you provide when interacting with AI-powered features, including writing style preferences and tone settings.

Payment and Billing Information. When you subscribe or purchase credits, billing information is processed and stored by our payment processor, Stripe, Inc., and is not stored on our servers. We retain transaction records and credit usage records.

Communications. We collect information you provide when contacting support, submitting feedback, or responding to surveys.

1.2 Information Collected Automatically

Usage Data. Pages and features accessed, actions taken, session duration, and feature usage patterns.

Device and Technical Information. Device type, operating system, browser type, IP address, unique device identifiers, and general location derived from IP address.

Credit Usage Data. Credit consumption across AI-powered features for billing reconciliation and usage analytics.

1.3 Information from Third Parties

Authentication Providers. When you authenticate via Google SSO through Clerk, we receive basic profile information.

Payment Processor. Stripe provides transaction confirmations and subscription status. Stripe does not share your full payment card number with us.

How We Use Your Information

Providing & Operating

Creating and managing your account, processing and transcribing voice recordings, generating and formatting content using AI, enabling rich text editing, exporting content to PDF, DOCX, and EPUB, processing subscriptions and credit usage, and providing AI-assisted video production.

Improving & Developing

Analyzing aggregate usage patterns, identifying and resolving technical issues, conducting internal research and development, and monitoring system performance and reliability.

Communication

Sending transactional communications (account confirmations, billing receipts, credit balance notifications), service announcements and security alerts, and responding to inquiries.

Safety & Compliance

Detecting and preventing fraud and unauthorized access, enforcing our Terms of Service, and complying with applicable legal obligations.

AI-Specific Disclosures

3.1 How Your Content is Processed by AI

Text Generation. Prompts, outlines, and transcriptions are sent to third-party large language model providers via OpenRouter to generate and refine content.

Voice Transcription. Voice recordings are sent to Deepgram for speech-to-text processing.

Image Generation. Prompts are sent to AI image generation models via OpenRouter for book covers and illustrations.

AI-Assisted Video. Content may be processed by AI services to generate AI avatar videos for course creation.

3.2 We Do Not Use Your Content to Train AI Models

Your manuscripts, voice recordings, transcriptions, prompts, course materials, and any other content you create on the Platform are never used to train, fine-tune, or improve any AI models — whether our own or those of third-party providers. Your content is processed solely to provide you with the requested output.

3.3 AI Output Limitations

AI-generated content is provided “as is.” While we strive for high-quality output, AI-generated text, images, and video may contain inaccuracies or errors. You are responsible for reviewing and approving all AI-generated content before publication.

How We Share Your Information

We do not sell your personal information.

We share information only with:

Service Providers. Clerk (authentication), AWS (cloud infrastructure, storage), MongoDB Atlas (database), OpenRouter (AI model routing), Deepgram (transcription), and Stripe (payments).

Legal Requirements. When required by law, regulation, or legal process.

Business Transfers. In connection with a merger, acquisition, or sale of assets.

With Your Consent. When you have given explicit consent.

Data Storage and Security

Your information is stored on servers operated by Amazon Web Services (AWS). We implement industry-standard technical and organizational measures including:

Encryption in transit (TLS 1.2+)
Encryption at rest for stored files
Secure credential management via AWS Secrets Manager
Signed URLs for private asset access
Role-based access control

While we take commercially reasonable steps to protect your information, no method of transmission or storage is completely secure.

Your Rights and Choices

Access and Portability. Request a copy of your personal information or export content via built-in export features.

Correction. Update your account information directly through the Platform.

Deletion. Request deletion of your personal information by emailing privacy@publishai.com. Note that deletion is permanent and cannot be undone.

Marketing Opt-Out. Unsubscribe from marketing communications at any time.

Cookies and Tracking

We use strictly necessary cookies for authentication and security, and functional cookies for remembering your preferences. You can adjust your browser settings to refuse cookies, though this may impair functionality.

Children's Privacy

The Service is not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us at privacy@publishai.com.

International Data Transfers

Your information may be transferred to and processed in the United States. By using the Service, you consent to this transfer. For users in the EEA/UK, we rely on Standard Contractual Clauses for adequate protection.

Data Retention

We retain your information for as long as your account is active. Upon account deletion:

Account information, content, and voice recordings are deleted

Payment and billing records are retained as required by law

Server logs are retained for 90 days

Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated via email and/or a notice on the Platform at least 30 days before taking effect. Continued use after the effective date constitutes acceptance.
